Drawbacks of photocopier leasing

Instead of purchasing office equipment outright, some companies prefer photocopier leasing. This means that the company is simply renting the photocopier equipment instead of opting to own it. Instead of purchasing the equipment, a monthly payment is made that covers the leasing and when the equipment breaks down or has problems, the company that photocopier is leased from is responsible for the repairs in almost every case.

The drawbacks of photocopier leasing are surprisingly small. The biggest drawback is the interest that you'll pay overtime on leasing the photocopier that you wouldn't pay if you purchased it out right. This can make photocopier leasing slightly more expensive in the long run than simply purchasing a photocopier. But if your company would have to purchase a photocopier on credit or on some type of payment plan anyway, then you'd be paying interest. And you'd probably be paying much higher interest than you would by leasing the copier.

Another drawback of photocopier leasing is that you don't own the equipment. You can't opt to sell it and you do need to take very good care of it. Even though there is most likely a service agreement in which the leasing company is responsible for repairs, if it becomes clear that the repairs are required due to neglect or abuse, there could be a clause in your contract that states you need to pay extra for the repairs. While it's a good idea to take care of all of your office equipment and most people do, you have to keep in mind with photocopier leasing that the equipment essentially is not yours.

Benefits of photocopier leasing

There are many benefits of photocopier leasing, on the other hand. If you opt to lease a photocopier that means you don't have a large upfront payment. For small businesses this is especially beneficial. That means instead of paying $2000 outright for a quality laser printer and copier combo, smaller payments can be made on a monthly basis. There's no large capital outlay to purchase the equipment which means that that money can be used for other things within the company.

Photocopier leasing also means, in most cases where the equipment is well taken care of, that there will be no surprise repair costs. If you own the equipment, generally there is an agreement when you make the purchase or you get service at a discounted rate for certain period of time. And of course the equipment is under warranty so many repairs would be completely covered. The photocopiers that are used heavily tend to develop problems fairly quickly. If you're leasing the copier, all the way through your lease agreement the repairs will be completely covered or cost much less than if you owned the copier and it broke down three years and your ownership.

Another important benefit with photocopier leasing is that if you have a long-term lease agreement, which is a wise choice, you can easily upgrade to a new photocopier when the one you're using becomes obsolete or problematic.
