Choosing a telephone system for your business can be a tricky proposition. There are a huge number of factors to consider such as the number of employees you want to connect to the system, the volume of calls you expect to make, the type of calls you expect to make and how closely you want to monitor them.
In addition you also have to get your crystal ball out and try to predict your future telephone usage – you don’t want to grow out of your purchase before you’ve extracted maximum value from it.
To help you come up with a rough budget – essential for working out what you can afford, which suppliers to approach and how to compare their quotes – we’ve put together the following guide to business telephone system prices.
Small Business Telephone System Prices
A small business, despite having a low number of telephone users, still has a wealth of business telephone systems to choose from. These fall into two main camps: analogue systems and VoIP systems.
Analogue Telephone System Prices
An analogue system uses traditional telephone lines – the number of simultaneous calls being limited by the number of lines. Calls are connected and distributed to the relevant extension via an exchange (PBX) or a Key phone.
Prices for PBXs range from around £130 for a system with 2 lines and up to 6 extensions all the way up to £700+ for a system with 16 lines and 64 extensions.
A key phone, which can normally handle a maximum of 16 extensions will cost £100 - £200.
System phones range from £30 upwards depending on the features they incorporate.
VoIP Phone System Prices
Voice over internet protocol phones use your computer network (Ethernet) and the internet for transmitting calls. The number of simultaneous calls is limited by your bandwidth.
A small VoIP system, for up to 12 users, is likely to cost upwards of £600.
Medium to Large Business Telephone System Prices
As a business increases in size so does the complexity of the phone system required for handling large volumes of calls across high numbers of users. Nowadays larger businesses should always opt for IP phones in order to take advantage of lower call costs (free on your own network) and close integration of IT and telephony.
An IP-PBX phone system uses your Ethernet network to route and distribute calls.
An IP-PBX will cost anything from £600 to £2,000+ depending on the number of users (anything up to around 1,000 extensions can be covered by a single PBX unit – larger organisations may require a bespoke solution).
IP phones cost from £50 to £200 per unit depending on the number of features supported by the telephone.
Business Telephone System Add-on Prices
Various add-ons are available for business telephone systems – some are simple peripherals which plug right into the desktop set while others need to be added to the PBX unit itself.
- Headsets – call centre or sales staff will appreciate these. They also reduce occupational health risks. Prices range between £30 and £150.
- Hold music – these players which plug into the PBX can use CDs or MP3s and cost from £100.
- Voicemail/Auto-attendant – never miss a call again with an add-on for your PBX which allows shared or personalised mailboxes. Prices from £500 (if not already included in the system you purchase).
- VoIP gateways – allow connection of an analogue phone to an IP system, enabling remote and home users. Prices from £300.
- Call recording – available for small and large systems, usually as a unit added at the PBX. Costs from £150 for a 4 port device up to £15,000 for devices for large organisations and the requisite software.
- Door entry systems – remotely control a non-visible door with an intercom or video phone for £300+.
- Network switches – larger buildings will require extra switches to amplify signals and route calls back to the exchange. These cost around £250 for an 8 port switch.
- Call management software – analyse your staff’s phone usage to pinpoint improvement areas, maximise efficiency and enhance customer service. Software starts from £150.
None of the prices in this guide include VAT or installation charges – we recommend obtaining quotes from several suppliers to your area.
