As you can see, having the right accountancy software working for you can be of great benefit to your company
and should save you money in the long term. However there are hundreds of titles available on the market, so it
is worthwhile doing some research before deciding which one to buy. A good place to start would be The Approved
Index, the UK 's leading business to business referral service, which has a number of accountancy system
providers listed. Alternatively, you could ask your competitors what software they use in their accounts
department, or keep your eyes peeled for accountancy software programmes that are particularly popular in your
industry. Accountancy software programmes are also built to fit specific volumes of trade and turnover, so look
out for the software used by businesses of a similar size to you. Make sure you review the software provider's
history, solvency and any industry awards or accreditations they have received for their products. Other
considerations include:
- The softwares functionality and ease of use and whether the necessary level of support will be available
for the lifetime of the product. Will this support be given online or over the phone, and will it be
available outside office hours?
- Look for any additional software features you might find particularly useful, including tools for tax
preparation, online banking, business planning, emailing invoices and the integration of sales and
marketing data. Find out whether the product can be customised to suit your specifications.
- Also consider the softwares connectivity, which can boost internal/external communications using various
network utilities and by enabling remote access.
When you have narrowed your choice down to two or three software packages, it is advisable to field the views of
the employees who will be using it and consider whether they have the skills to use it or will need special
training. If training is required, does the software manufacturer include the necessary literature and user
manuals, or will this training involve an added expense? It is worth clearing such matters up before committing
to purchase the software because free trials are often offered by software manufacturers.
Other considerations include which programme offers the best insurance policy and how future upgrades will ffect
the application. Also, judge whether you will be able to work with the vendor or manufacturer again because
software companies are always eager for repeat business, and often offer better prices in an effort to keep
clients. Another factor is the amount you wish to pay for the software, whether you want it boxed or as a
download, and how many user licenses you want. Remember that internet vendors often offer titles below the
listed price in order to remain competitive, whereas retail outlets and third-party vendors can provide a
working knowledge of the software that might be of more value to you. But whichever way you choose to buy the
software, I wish you a long and prosperous future with it!
