Benefits of using cash registers

Cash registers and POS systems

Cash registers have come a long way from manual devices used to tally sales and hold money. When cash registers were first used they were little more than a way of tracking small sales with a cash drawer that opened to hold the day's take. Think of the first manual typewriters with their hard to press keys and imperfect ink ribbons. The earliest cash registers used much of the same very basic technology. Today's cash registers are computerised and complex, and can handle much more complicated tracking, even going as far as telling the user how much change to give back to the customer. They require more training to use than basic manual cash registers did.

Every business should use one or more cash registers to make money-taking and change-making as fast and easy as possible. Whether the register is a manual entry only or it has a scan function, the calculations it makes so quickly are invaluable to a business that sells anything. Modern cash registers can stand alone or be part of what's known as a point of sale (POS) system. POS systems are far more complex than cash registers alone, and do far more than just total sales and give correct change.

Cash registers as part of POS systems

POS systems are computerised systems that include cash registers with cash drawers, but have much more to them. These types of systems are the types of systems you'll find in most large retail stores you enter. At a grocery store or a big discount or department store, for instance, POS systems are the norm. That's because there are multiple cash registers being used at any one time, and they're all tied into the same computer system. The system keeps track of each register as well as the total, and has many more functions available.

To see the benefit of cash registers as part of a POS system for larger businesses, think of a grocery store with 10 lanes. If only cash registers were used, then each register's information would be self-contained. To figure out how many bananas were sold in one day, information from all registers would have to be tallied. A POS system can generate such a report easily because all of the cash registers are tied into the system. Comparing employee usage and totals, as well as totals during certain shifts of parts of the day, totals on different items sold, total tax and so much more is easily possible with POS systems.

For a very small business that has the need for only one or even a few cash registers, then a POS system might seem like an unnecessary expense. It is much less expensive to purchase the cash registers alone and make the calculations that are necessary. Between only a few registers and users this is simplified. But for anything more than that a POS system can save users a lot of time generating reports and automating certain tasks and calculations that standard cash registers can't handle.
