What is a VoIP Phone System?

VoIP - or Voice over Internet Protocol - is a method of call transmission which uses a broadband internet connection instead of a traditional phone line - or Public Switched Telephone Network. Skype is a popular example of a familiar form of VoIP.

VoIP is available as a business-class service, and offers a number of advanced features and benefits that may be unavailable in other transmission types.

Physically, a VoIP phone looks the same as a traditional wired or cordless system or handset. It is used in the same way and, from a user-perspective, is no different - technically speaking, though, they are.

Some VoIP phone systems allow users to send images or videos during calls - and so some could also be considered video phone - and some also offer enhanced quality audio, alongside other VoIP-specific features and benefits.

What is Hosted VoIP?

Hosted VoIP

As the internet grows more reliable and as more people connect to it, many new technologies and solutions have become available. Hosted VoIP is a technology of this nature that has grown in popularity within the telephone systems industry.

As broadband network speeds increase and as connection reliability improves, many businesses have decided to take advantage of the cost and operational benefits offered by VoIP telephone systems.

Hosted VoIP refers to a phone system where the hardware and PBX is hosted off-site, in a different location to where the VoIP telephone system is being used. Many users would also refer to hosted VoIP as being ‘in the cloud’. In this form, your service provider owns, manages and maintains the infrastructure, whilst you pay a monthly service fee.

A business’s VoIP telephone service could power the phones in the office, whilst their PBX is hosted wherever the VoIP provider’s data centre is.

As mentioned, a VoIP system is a specific communications protocol that uses the internet. The benefit of a hosted system is that it limits your own involvement in setting up the servers and other related processes.

As with the other available VoIP services, hosted VoIP transmits audio data in the form of data packets, which are sent over the internet and then unpacked when they reach the receiver in order to produce the audio. Likewise, as with other VoIP options, hosted VoIP can save companies money that would otherwise go toward paying for potentially expensive on-site equipment - with VoIP, this equipment is provided externally.

Not only does this form of communication limit your own accountability, but it also means that your provider will maintain a direct obligation to provide system maintenance and upkeep. With hosted VoIP, you simply need to have VoIP-compatible phones, or the softphone app that typically comes bundled with packages available from VoIP providers.

In a hosted system, the provider is responsible for delivering calls to both you and your clients; all you need to do is pick the packages that suits your business needs.

How Does a VoIP Telephone System Work?

VoIP enables voice calls to travel over the internet by converting analogue voice signals into digital signals, carried in ‘data packets’. These data packets are converted back into analogue before they reach the other party.

These signals can travel over the public internet, or on a private internet circuit. For the final part of the transmission, the signals are generally returned to the Public Switched Telephone Network. Some VoIP phone providers offer end-to-end circuits, which bypass this last stage to provide an all-digital service. The data packets in this form of transmission travel in much the same way as an email.

As with traditional telephone systems, with a VoIP phone you are able to make calls to either landlines or mobile phones.

To use a VoIP phone system, you simply need to plug the phone into the nearest LAN port. Once done, the VoIP phone registers automatically with the system. The phone will retain its original number, and it will behave exactly as it would in a traditional system.

VoIP systems also allow users to use less traditional equipment to make calls. With a softphone - a headset or speaker/microphone connected to a computer with VoIP software - you’ll need to have the program open on your computer to handle calls.

To find out more about how a VoIP Phone System could work for you, simply complete the form at the top of this page.

What do you need to implement Hosted VoIP?

Because VoIP cannot work without an internet connection, this is the one essential requirement. It is a good idea to find out the bandwidth - or speed - of this connection in order to make sure that it can effectively deliver the quality phone service that you will be paying your supplier for.

If you have a small number of employees - less than a dozen, for example - you are less likely to require higher-than-typical internet speeds, and so internet bandwidth will not be as big a concern. However, if your business has a larger number of employees then it may be necessary to improve your current internet connection, or else invest in one capable of hosting the number of users. To find out whether this may be necessary, it is important to speak to your VoIP supplier.

Another important factor to consider if you might opt for a hosted VoIP system is data. Many internet providers impose a limit on the amount of data that can be transferred over your network - you need to look into this detail because installing a VoIP phone system is likely to considerably increase your data usage.

The data allowance consideration should not put you off however as, for most businesses and in most cases, paying for more from your provider is likely to be cheaper than paying for more expensive calls.

Aside from the required internet connection, you will also need compatible equipment. Equipment requirements will vary from business to business, but might include desk phones for various staff members, as well as other tools, including conference call equipment or extension modules. It is also possible for businesses to opt for softphone apps, which will cut out the need for additional hardware altogether.

In most cases, your VoIP provider will offer specific phones and equipment to suit your package; if this is the case, then it is well worth taking their advice on board as the supplier’s suggestions will invariably be based on experience.

It will probably be far more cost-effective for your business to have everything you need provided by one company, instead of going to several companies. Using just one supplier is also a good way to ensure that your phone system is as highly optimised as possible, and also available for use straight away.

VoIP Telephone System Benefits

Probably the most important benefit for anyone looking to purchase, lease or rent a new phone system is cost. Fortunately, a VoIP phone system is an excellent option in this regard. Using a VoIP phone generally costs far less than using a conventional phone; a number of call options are cheaper, and long-distance calls in particular are available at a much lower rate. For any business frequently required to make this type of call, this can be a huge advantage.

As well as being a cost-effective option, VoIP phones also offer flexibility and portability that is lacking in other forms. With a VoIP phone, you are able to log in using any broadband connection - location is not an issue at all, and it is even possible to access your VoIP system via email.

Although VoIP may become your preferred form of transmission, you do have flexibility when you use it. Conventional phone systems can be used in tandem with this technology, and so you do not need to worry too much about losing any benefit that you may have enjoyed otherwise. You can even use VoIP converters, which can sense signals coming from traditional analogue phones; these signals will be converted into digital data that will then reach you.

Another essential benefit that users will find with VoIP phones comes in the form of functionality. Because of the way that this kind of system works, VoIP phones can be used not only for traditional voice calls, but also for other data transmissions too - whether this be in the form of video or data, this kind of technology allows for a much more varied approach to long-distance business.

Flexibility

A hosted VoIP phone system can be used by a huge range of businesses - from a small office to a larger multi-site business, the available options allow enough flexibility to match most businesses’ needs.

This functional, flexible and cost-effective option will allow customers to access bespoke features - like call queuing and automated options - which will help your business to deal with greater numbers of calls more effectively every day.

This flexibility also stretches to include usability; with a hosted VoIP phone system, employees are no longer tethered to just one specific phone line, with access available any time, from any location, with any piece of compatible equipment. This functionality allows not only for easier access for staff but also for better customer service.

Custom Features

With a VoIP phone system it is possible for businesses to include custom features designed to improve the customer service experience.

Instead of hearing the engaged tone, there are options to put callers in a queue with an automated message or music; likewise, it is possible to put automated systems in place which will allow customers to be funnelled through to the correct department, or even complete their task without having to speak directly to a member of staff.

The features available not only provide a more professional view to your clients, but it can also provide a better customer experience if they feel as if they have been able to navigate through a more well-designed, intuitive telephone experience.

For any ambitious business, scalability is vital, and with a VoIP phone system it is readily available. If you run a small business then you may only require a small number of phones included in your plan; however, you may want to add on more phones or users in the future. This is easily done with VoIP telephones.

Most VoIP providers will offer a huge range of options, covering not only the number of users within your business - both now and in the future - but also the requirements of your business. If you double in size, then it’s likely that you will need double the number of handsets, and you will also need to add other pieces of equipment. This is made easy with hosted VoIP.

Cost

With hosted VoIP, businesses have access to much lower costs than with other forms of telephone system. This cost-effectiveness covers a wide range of call types and could be especially useful for businesses that regularly need to make calls to international numbers.

Of course, cost is often the prime factor for any business looking to invest in any equipment or services. Knowing that this is an affordable, quality option is therefore of real benefit to any business.

Small Business VoIP Benefits

Small Business VoIP

With the widespread adoption of VoIP, nowadays it is not just huge multinational companies that are reaping the benefits of Internet-based telephony. Companies of all sizes are choosing to update their systems in order to take advantage of the cost savings and flexibility VoIP allows in how you make your calls and manage your entire phone system.

Fundamentally, small businesses rely on close contact with customers even more than larger companies. A small business lives and dies through the contact they make and the relationships they establish with their clients and customers. A modern phone system will help to maintain this contact - it means that you are always there, always available to help.

Below we've outlined the 8 key benefits of a VoIP phone system, with an emphasis on small business users. If, however, you are ready to start comparing VoIP supplier quotes, you can simply complete the form at the top of this page now. AI's quote comparison service is free and without obligation, and you can save as much as 40% on your VoIP system purchase or lease.

Simplify Communications

VoIP offers a much simpler solution than traditional telephone systems, which required a PBX (Private Branch Exchange) linked to the PSTN (Public Switched Telephone Network) and cabling connecting fixed desk phones to the PBX.

  • Instead, VoIP calls to external contacts travel via the Internet and use your data network - Local or Wide Area Network (LAN or WAN) - to connect users within a building. Your employees can connect their phones anywhere on the internal network, giving them great flexibility. Skype is a very simple example of VoIP, providing free calls to other Skype users anywhere in the world.

VoIP simplifies things by:

  • Saving time since it is possible to make more than one call at once within the same network
  • Helping you communicate better with both clients and employees
  • Enabling your employees to work from anywhere without missing any calls

Reduce Call Costs

VoIP on a business scale offers the same savings on call costs. Calls to other VoIP users are free, and you can generally find competitive call packages to suit your calling patterns. If most of your calls are local, savings may be marginal, but you can still take advantage of VoIP’s other cost savings, as we’ll explain later. If you have other branches or some of your employees work from home, you can link them with VoIP and make big savings on those regular, free calls. Long-distance or international calls also represent potential opportunities for savings, with service providers offering packages of unlimited calls, free minutes or reduced rates to selected international destinations.

VoIP saves you money by:

  • Making toll-free calls possible
  • Cutting costs on long-distance calls
  • Unifying your voice and data transmission systems into a single network
  • Making it easier for you to work wherever you want to, as long as an Internet connection is available
  • Minimising the use of hardware and wiring for setup

Improve Productivity

Colleagues improving productivity with VoIP

Today’s systems offer you a number of features to help make your business day much more efficient. As well as the features you might expect such as voicemail and speakerphone capabilities, your more advanced telephone system can provide you with conference call capabilities, automatic call forwarding (which means that any calls you miss at the office are forwarded straight to your mobile), on-hold messaging and many more. Installed and used properly they can change the way that you do business.

You can make indirect savings, thanks to the productivity gains that VoIP makes possible. A feature called Presence lets employees know which of their colleagues are available or unavailable to take calls, making it easier to communicate and cutting out the time-wasting exercise known as telephone tag.

  • VoIP has another great productivity feature called Unified Messaging which allows employees to access all their voicemail, email and Instant Messages in a single inbox. And, the fact that employees can make or receive calls and use all their VoIP services from any Internet access point means they can work productively wherever they are.

If you are not particularly tech-savvy a new phone system may seem like a daunting and potentially disruptive process to your day-to-day business while you get up to speed. However, the companies that you will find through Approved Index will do all they can to make sure that your new telephone system makes complete sense to you. Many of them can offer you comprehensive training for a designated employee, or for your whole team, so that you can quickly learn how to use the phones and start to get the best out of them immediately.

Increase Collaboration

Many small businesses find that teamwork and project management help accelerate tasks like product development or sales and marketing. VoIP makes teamwork easier with collaboration features that are easy to use and save valuable time.

  • Three-way conferencing is standard with most VoIP services and special conference phones are available for larger teams who want to collaborate with colleagues or business partners in other companies. Many VoIP packages include video and web conferencing facilities, making it easy to set up productive meetings and cut the time and cost of travelling to meetings.

Enhance Customer Service

Call centre employees delivering customer service

Quality customer service helps keep your customers satisfied and loyal. VoIP makes it easy for callers to reach the contact they want, first time, thanks to a feature called Follow Me. Even if employees are away from their desks, the system will forward the call to a mobile or home phone, ensuring they are always in contact. That’s important when a customer wants to reach a sales representative or technical specialist, for example, with an urgent request.

  • Some VoIP services include facilities for integrating Customer Relationship Management (CRM) systems with phones. This means employees have access to all the customer information they need when they are on a call. This can help them deal quickly and efficiently with enquiries or technical issues, improving the quality of service.

Hosted Or On-Premise Solutions

Benefits like these are important to small businesses and the good news is they are also very affordable.

  • If you have a recently installed data network, there’s a good chance it’s a multi-service network with the technical characteristics to support clear VoIP calls. If that’s the case, you can operate VoIP on your own premises without incurring upfront investment costs. You will, however, need IT people with the technical skills to manage and support the VoIP system. That could mean retraining or recruitment.
  • If you have an older data network, or no suitable network, you could be facing costs to upgrade your network or install new infrastructure. You could use a technology called SIP Trunking as an intermediate step. SIP is a digital technology that can link older PBXs to an Internet Telephony Service Provider (ITSP) so that you can provide your telephone users with the features and functionality of VoIP.

Fortunately, there is also another alternative – a hosted solution. Here a service provider manages the infrastructure for VoIP in “the cloud” and you access it via the Internet. You need no infrastructure on your premises and you don’t have to provide people to maintain the system. The service provider takes care of that and all you pay is a monthly fee. You protect your valuable capital and you have a fixed monthly charge that simplifies budgeting and cash flow.

The other great advantage for small business owners is that a hosted solution scales easily. That means you can expand the system instantly as your business grows. If you recruit new employees or open another office, you won’t have to wait for the additional service, it’s immediately available and you simply increase the monthly payment.

Choice Of Phones

With VoIP, you can use a variety of different phones to make and receive calls. Standard desk phones will work with VoIP using a simple adaptor, so you can keep your old phones. They are familiar tools for people who just want to handle calls, but they may not support many of the VoIP features.

  • IP desk phones are designed for the VoIP user and range in sophistication from entry-level models to executive phones with large touch screens and wideband audio call quality. These phones provide access to all standard VoIP features.
  • A cost-effective alternative to the IP deskphone is a softphone. This is a piece of software that runs on a personal computer, laptop or other mobile device and provides employees with access to their VoIP services. Employees can handle calls using a headset or a microphone and speaker. That makes them useful for light phone users or employees who regularly work away from their desks.

VoIP System Equipment

VoIP requires very little equipment on your premises. You connect to a VoIP service provider with a router and a broadband Internet connection. Phones can take three forms – an IP-enabled phone, an existing analogue deskphone with an adapter, or a headset connected to a computer with VoIP software.

The phones plug into your internal data network, which is connected to the router. Unlike traditional systems, you don’t need a separate internal phone network with fixed connections to the handsets.

Your internal data network must be able to carry voice signals. Most modern multi-service networks have this capability. If not, you will need to upgrade your network or consider a cloud-based system.

As you would expect, there are certain pieces of equipment that you will normally need to make your system work.

VoIP Phones

VoIP General Use Phone

As mentioned, VoIP handsets operate in the same way as traditional ones; however, there are certain features specific to this transmission form that you will require.

  • VoIP phones can host multiple lines if required
  • VoIP handset display options vary by model
  • VoIP handsets ordinarily have multiple ethernet ports
  • Many VoIP phones are VPN ready
  • Many VoIP are able to work with Expansion Modules

Fill in the form at the top of this page and speak to a supplier today to find a VoIP handset to suit your business needs.

VoIP Conference Phones

VoIP Conference Phone

Like regular handsets, conference phones with VoIP functionality work in much the same way as their counterparts. There are several features that may be more suitable to your business than others.

  • Many VoIP conference phones boast very high quality audio
  • Most VoIP conference phones can be used as analogues too
  • Extras can be added to improve conference call convenience

VoIP Phone System Considerations

When you are considering purchasing, renting or leasing a telephone system, you need to make a list of the services and features you need because service providers offer different packages. For example, you might want to include a fax service or integration with applications like Salesforce, which may not be available in basic packages.

From a technical perspective, you need to check that your internal data network can carry voice traffic and that your broadband connection is suitable for VoIP. A service provider can advise on the specifications or audit your facilities.

You should also check the level of technical support available from service providers.

VoIP Phone Internet Connection Requirements

A broadband Internet connection is a minimum requirement. However, VoIP call quality depends on the capacity, speed and stability of your Internet connection. If your connection is contended (shared with other users), speed and capacity at peak times may not be sufficient for clear calls.

Ask your service provider for the minimum requirement. Generally, a connection should have at least 100kbps on both the upload and download. In some cases, your VoIP provider will include a high-speed broadband connection as part of the deal to guarantee good service.

The bandwidth required for your VoIP phones to work depends on a number of factors, including usage, the type of codec and the other traffic using the connection.

  • A non-compressed codec, such as G711, requires at least 100kbps on both the upload and download.
  • Compressed codecs, such as G729, use approximately 38kbps per connection.

VoIP Can Be The Foundation For A Full Unified Communications Solution

If you feel that VoIP can benefit your business, you can also build it into any longer-term plans you might have to implement Unified Communications (UC). As the name implies, UC unifies all forms of communication across a business on a single platform, including email, voicemail, video, Instant Messaging and voice calls. As VoIP is an integral part of UC, you can migrate to a full UC solution in stages.

Choosing Your VoIP Phone System Supplier

There are a large number of providers offering VoIP for small business on the market today, each with competitive pricing and packages available. However, price should not be the only factor that you consider when selecting which supplier to provide your new system.

  • It is worth looking into the experience level of each company. Try to choose a company that is well established and has a history of good, efficient service. It may be worth talking to friends who have had similar systems installed and getting recommendations.
  • Choose a company that has a good range of options available to you so you know that they are not just selling you the model that they benefit most from.
  • It is worth finding out whether each company will offer training on how to use your new system. Some companies may charge for the training, but many will not.
  • Many companies will offer ongoing support once the Telephone System has been installed. This is important: if something goes wrong it is important to know that you have the experts on hand to solve any problems.
  • All the companies will be able to provide the hardware, but you should check whether your chosen company can also take care of the cabling in your office as well as the initial setup of the new Telephone System.
